Conference Registration Guidelines

Please read the following guidelines carefully before starting your registration. If you wish to know about the visit visa requirements for entering Hong Kong, please click here.

To register for AL4 Conference, you should go through the following procedure:

1. Check different Registration Fees according to different types and deadlines
   • If you want to enjoy the early bird registration fee, please make payment on or before 29 February 2016.
2. Fill in the Online Registration Form and select payment method
3. Receive an email acknowledgement after the form is submitted.
   • The email will be sent to your e-mail address provided within one working day.
   • Your application will be assigned a unique reference number. Please always quote this reference number if you have any queries about your registration.
4. Receive a confirmation email with an official receipt after the payment is received. The registration procedure is then completed.

Conference Registration Fees and Payment

If you want to enjoy the early bird registration fee, please make payment on or before 29 February 2016. The registration procedure is completed only when the payment is received. All registration rates do not include accommodation.

Full Conference (Full Pass)

• Attendance at all Conference sessions on 2-3 June 2016
• Satchel and contents
• Coffee breaks and two luncheons
• Library visit by enrollment
• Conference dinner on 2 June 2016

Day-1 Conference (Day-1 Pass)

• Attendance at all Conference sessions on 2 June 2016
• Satchel and contents
• Coffee breaks and one luncheon
• Library visit by enrollment
• Conference dinner on 2 June 2016

Day-2 Conference (Day-2 Pass)

• Attendance at all Conference sessions on 3 June 2016
• Satchel and contents
• Coffee breaks and one luncheon
• Library visit by enrollment

Once your application is received, an email acknowledgement will be sent to your e-mail address provided. Your application will be assigned a unique reference number. Please always quote this reference number if you have any queries about your registration.

We accept the payment by one of the following methods:

By Credit Card Online (in HK Dollars only)

• Only Visa and MasterCard are accepted

By Cheque (in HK Dollars only)

• Make it payable to “The Hong Kong University of Science and Technology”
• Post the cheque with the email “Registration for AL4 – Application Received”
  to the following address:AL4 Conference Registration Team
  The Hong Kong University of Science and Technology Library
  Clear Water Bay, Kowloon, Hong Kong
• Do not mail any cash

By Remittance (in HK or US Dollars only)

• The bank account information will be provided in the email acknowledgement.

Upon receipt of payment, an official receipt will be sent to you in a confirmation email. If you have not received any email acknowledgement and / or official receipt before 1 May 2016, please contact us by email AL4@ust.hk. Please note that the registration procedure is completed only when the payment is received.

Conference Registration Deadline

Cancellation and Refund

After the registration procedure is completed, NO refund will be made upon cancellation.

Weather Statement

Please refer to the latest weather announcement by the Hong Kong Observatory via http://www.hko.gov.hk

If Tropical Cyclone Warning Signal No.8 or above or ‘Black Rainstorm’ warning is announced by the Hong Kong Observatory before the Conference (2-3 June 2016) begins but is lifted or downgraded to Signal No.3 or below or ‘Amber’ warning by 11 am, the Conference will begin with the afternoon session for that day and the lunch will be cancelled.

If Tropical Cyclone Warning Signal No.8 or above or ‘Black Rainstorm’ warning is announced before the Conference begins and is not lifted or downgraded by 11 am, the Conference on that day will be cancelled. Please note that this may include the Conference dinner (2 June 2016).

In the event Tropical Cyclone Warning Signal No.8 or above or ‘Black Rainstorm’ warning is announced during the Conference, the event will continue and staff at the Conference will announce the arrangements to be made.

Please note in the event that inclement weather (Black Rainstorm or Typhoon) forces the Conference Organizing Committee to cancel the Conference partially or completely, there will NOT be any refund of registration fee.

Privacy Policy Statement

The information we collect from your registration will be used for the following purposes:

1. all the processing of registration to the conference of “Academic Librarian 4 – Sustainable Academic Libraries: Now and Beyond” (AL4 Conference) and other relevant purposes; and
2. future announcements from AL4 Conference and other conferences organized by The Hong Kong University of Science and Technology and The Chinese University of Hong Kong.

The AL4 Conference Organizing Committee will continue to deliver information including Conference news/ announcements, updates on programmes, Conference events and activities to be held to you personally through various communications channels by using your personal data provided. Such personal data includes contact information of your email address, correspondence address, mobile phone number and telephone number.

Personal data will be kept strictly confidential and handled by the Organizing Committee members only.
